Agent - Managing Files
The Files section is where you can view and manage all the documents you’ve uploaded, organize them into groups, share them with others in your organization, and manage their retention.
Uploading Files
For ways to upload new files into Agent, see Agent - Uploading Files .
File Display and Information
Upon entering the Files section, you will see a list of all your uploaded files.
Each file is represented by a File Card showing its name, author, upload date, file size, and any tags you’ve assigned.
File Actions
Each File Card includes a menu button which you can click to see a list of actions you can perform on the file:
Open in chat – Open the file in a new chat so you can ask questions or run actions on its contents.
Tag file – Add or edit tags to help categorize and find the file.
Share file – Share the file with specific users or with your whole organization.
Keep file – For inactive files at risk of pruning, mark the file as recently used to prevent deletion (see Agent - Data retention limits ).
Delete file – Remove the file from Agent.
Selecting Files for Bulk Operations
Hover over a File Card to show its checkbox, then click to select it. Selected cards display a checkmark in the top‑left corner.
When one or more File Cards are selected, the Menu Bar at the top shows additional actions you can apply to all selected files.
Files marked as inactive and at risk of pruning display a warning icon (see Agent - Data retention limits for details).
Keyboard Shortcuts (desktop only)
Hold Ctrl and click File Cards to select multiple files.
Hold Shift and click to select a range from the first clicked card to the last.
Press Ctrl+A to select all files.
The Menu Bar
Upload: Add new files (always visible).
When one or more files are selected, additional actions appear:
Group: Create a new file group from the selected files to organize related documents.
Add to group: Add the selected files to an existing group.
Other actions (Open in chat, Add tag, Share, Delete) work the same as in the File Actions menu.
File Group Management
The File Groups tab lists your file groups in the same card layout as the Files tab. Each group card has a menu with actions:
Open in chat – Use the group’s files as context in a chat.
Rename – Change the group name.
Description – Edit the group description.
Edit – Add or remove files from the group.
Delete – Delete the group. This removes only the grouping; the individual files remain available.
File Sharing
When you share a file, you can share it with specific members of your organization or with the entire organization.
You can see files you’ve shared and files shared with you in the Shared with me and Shared by me tabs. The menu options in these tabs differ from the main Files tab (for example, you may not be able to delete files that were shared with you).
