Each File Card includes a menu button which you can click to see a list of actions you can perform on the file:

  • Open in chat: This option allows you to open the file directly in a chat session with the AI, enabling you to ask questions or request analyses based on the file's content.

  • Tag file: Tags help in categorizing and retrieving files quickly. You can create custom tags and assign predefined colors to them for visual organization.

  • Share file: This feature lets you share files with other members of your organization. You can select specific individuals or share with the entire organization.

  • Keep file: Only for files marked as inactive (cf https://ayfie-dev.atlassian.net/wiki/spaces/USER/pages/4025221166 for context), it marks the file as recently used to prevent it from being pruned.

  • Delete file: If a file is no longer needed, you can delete it to keep your file list organized.

Selecting files for bulk operations

There are several ways to select multiple files:

  • Hovering over a File Card will show a checkbox you can click to select the file. Selected File Cards display a checkmark symbol in their top left corner. If any file cards are selected, the Menu Bar on top will present additional actions that can be taken.

    • Hold CTRL when clicking multiple File Cards to select them

    • Hold SHIFT when clicking File Cards to extend the selection from the first clicked to the last clicked item including all items in between

    • Press CTRL + A to select all files

The menu bar

  • Upload: The upload button allows you to add new files to your collection. This option will always be visible.

Additional actions become visible when any File Cards have been selected:

  • Group: You can create a new file group with the selected files, which is useful for organizing related documents together.

  • Add to group: You can add the files to an already existing group

The other available actions are analoguous to the File Actions discussed earlier:

  • Open in Chat

  • Add Tag

  • Share

  • Delete

File Group Management

The File Groups tab in the Files dashboard is presented similarly to the Files tab.

Each File Group is presented as a File Card including a menu button which you can click to see a list of actions you can perform on the group:

  • Open in Chat

  • Rename: This option lets you change the group name

  • Description: This option lets you change the group description

  • Edit: This option lets you change the files that are assigned to this group

  • Delete: This option lets you remove the File Group. Note that only the grouping itself is affected - the individual files that constituted the group will still remain in the system.

File Sharing

When sharing a file, you can choose either to share it with specific members of your organization or with the organization as a whole.
