Agent - Workspaces
This page explains how to use Workspaces in Agent: create them, switch between them, share them with other users and manage ownership.

What is a Workspace in Agent?
A Workspace is a separate environment for organizing your work in Agent. Each Workspace lets you:
Keep your chats, Instructions, and Resources grouped by project, team, or task.
Collaborate with other users by sharing Resources and Instructions.
Each Workspace has its own chat history, Resources (files) and Instructions, completely separate from other Workspaces.
Workspace Basics
Access the Workspaces menu
The currently selected Workspace is shown in the left panel.
Click the Workspace icon or title to open the Workspaces menu.
This is where you can switch between workspaces, manage them and create new ones.
Switch between Workspaces
Open the Workspaces menu.
Click another Workspace in the menu to switch to it.
Create a new Workspace
Open the Workspaces menu.
Click the
+button to open the Workspace setup dialog.
Enter a unique Title
(optional) Enter a Description
(optional) Click the Workspace Icon to choose an Icon and Color.
Click
Create.
A newly created Workspace remains private until you change its access settings via the Workspace overview.
Workspace ownership
The creator of a Workspace automatically becomes its owner.
A Workspace can have multiple owners at the same time.
Only owners can edit Workspace settings, manage access (including granting or removing owner rights), and delete the Workspace.
Edit Workspace settings
Open the Workspaces menu.
Click the
⋮menu button and selectEdit.
The Workspace overview opens. Here you can:
Change the Workspace Title, Icon, and Description.
Share the Workspace with your organization or specific users.
Manage the Workspace’s Resources, Instructions and Sources.

Manage Workspace access
To enter the access settings :
In the Workspace overview, click Access.
Access settings show everyone who can access the Workspace. Owners are marked with an Owner tag.
Any user with access to the Workspace can:
Chat with Agent using the Workspace’s resources
Upload and delete files
Create, edit or delete Instructions.
Only Owners can edit Workspace settings, manage access, grant or remove Owner rights, or delete the Workspace.
Share a Workspace with your organization
In access settings, select Available for everyone in my organization.
Confirm in the prompt.

Stop sharing a Workspace with your organization
In access settings, clear the
Available for everyone in my organizationcheckbox.Confirm in the prompt.
Workspace Owners will retain access after you stop sharing the Workspace.

Share a Workspace with individual users
In access settings, click the
Add membersdrop-down to see a list of users in your organization.Check the boxes next to user names to include them in the selection.
Click the
Addbutton to add the selected users to the Workspace.Added users can then access the Workspace and use its Resources and Instructions
Manage a user’s access to the Workspace
In access settings, find the user in the list and click the
⋮menu next to their name.This will display one or more of the following options
Grant Owner rights / Remove Owner rights
Remove from Workspace - this option is only available if the user was added directly, not through organization-wide sharing.
You cannot remove yourself from the Workspace or remove your own Owner rights.
Privacy in a Workspace
The following table shows which of a Workspace’s contents are private to you and which are available to all of the Workspace members:

Manage Workspace Resources (files)
In the Workspace overview, select
Resources.To upload a file:
Drag and drop it into the
Filesarea orClick
Upload filesand choose the file.
To delete specific files:
Select their checkboxes.
Click the
Delete all selectedand confirm.
To delete all files in the Workspace:
Click
Select allClick the
Delete all selectedand confirm.

Manage Workspace Instructions
In Workspace overview, select
Instructions.For details on creating and managing Instructions, see Agent - Instructions .
Manage Workspace Sources
In Workspace overview, select
Sources.For details on creating and managing Sources, see Agent - Sources .
Workspace owners can enable or disable which sources appear in their workspace chat, while admins and source managers can also create workspace-specific sources that are only available in a given workspace, alongside organization-wide sources.
Manage Workspace Workflows
In Workspace overview, select
Workflows.For details on creating and managing Sources, see Agent - Workflows .
Save Your Changes
While most updates in the Workspace overview are applied automatically, please note the different saving methods:
Details Section (Title, Icon, and Description): Changes to these fields must be confirmed manually. Click Save to apply your updates or Cancel to discard them.
Resources and Instructions: These sections feature automatic saving. Any changes you make are saved instantly upon closing the dialog window.
Delete a Workspace
Open the Workspace menu.
Click the
⋮menu button and selectDelete workspace.
Confirm deletion when prompted.
Deleting a Workspace permanently removes its Resources and Instructions and cannot be undone.
Workspace Management Menu
To enter the access settings:
Go to Basic Workspace List
Click the List Header Button
The Workspace Management menu is displayed.
The Workspace Management capabilities allow users to:
Manage the Workspace (if the user has the required permissions)
Delete the workspace (if the user has the required permissions)
Leave the worskspace (if this operation is possible—for example, if the workspace is not shared organizationally and is not private)
Hide/Show the workspace (hidden workspaces are not visible in the basic list)
