Search Refiners

Refining Search Results 

The ayfie Locator Search Refiners, located on the left-hand side of the results page, are useful tools for filtering and fine-tuning search results.  The refiners pane also shows the number of hits per refiner.  

 
You may not see all of the refiners after every search.  This is because refiners are dynamic and are based on your search results.  For example, if your search results include only Microsoft Word documents (.doc files), the File Types refiner will not be displayed since there is only a single file type in the results. 
 
Refiners can be deselected individually by unchecking the refiner. All refiners in a section (eg: File Types) can be deselected by clicking “Clear” under that section. To clear all selected refiners, click “Clear All” at the top of the refiner pane. 

 

Multi-select refiners have a three stage check box:  

  • Not selected – empty box

    • If a subdirectory is selected, the box of the parent directory will have a blue check mark against a white background to indicate the parent is not selected but something under it is. 

  • Selected – white check mark against a blue background 

  • Excluded – red circle with a line through it 

 

Right clicking on a refiner item will open a menu providing the ability to select, deselect, exclude or clear the refiner. Alternatively, items can be excluded by Alt-Clicking them. Explicit selections or exclusions appear in bold and cascade to subdirectories. The exclude icon for implicitly excluded subdirectories appears lighter to indicate it can’t be modified. 

Date Modified 

The Date Modified refiner enables you to select a date range for the documents you want displayed in the results list.  You can select from: 

  • Last Week 

  • Last Month 

  • Last 90 Days 

  • Last Year 

  • > One Year 

  • Custom range 

 

Again, these results are dynamic, so if all of your results are from the previous year you will not see options for Last Week or Last Month, for example.   

 

To specify a custom date range, click “Custom Range”. In the popup window, enter a custom range in the “From” and “To” fields at the top and click apply.  At least one “From” or “To” value must be specified. 

 
Selections made in the window are automatically saved. 

Sources 

The Sources refiner allows you to narrow down your search results to only documents found in the selected data repository.  Click on any source listed in the refiner to refine the current search to include only documents from the data source selected. 
 
The Sources refiner also contains a navigator feature that displays more options than the refiner column, which can be invoked by clicking on “See All” under the refiner.  The popup window allows you to drill down further or search sub-directories within each source. Multiple sources may be selected. 

Selections made in the window are automatically saved. 

File Types and File Extensions 

The file types and file extensions refiners allows you to narrow down your search results to only documents of a specific file type group, or a specific file extension.  For example, clicking on "Images" will refine the search results to only files whose format is that of an image (e.g. .tif, .jpg, .png, .bmp).  Click on any of the file types or file extensions listed in either refiner to refine the current search to include only documents of the file type or file extension selected. 

Clicking the “See All” link under either refiner will open a popup window that displays more options than the refiner column, allowing you to easily search and select multiple items. Selections made in the popup window are automatically saved.
