Configuration

The “Configuration” page provides the ability to create and manage:

  • Search Scopes
  • Promoted Results
  • Default User Settings


Search Scopes

A Search Scope is a built-in tool for filtering and targeting a search.  

Once the ayfie Locator Server is installed, a few common Search Scopes are provided by Default: Documents, Presentations, Spreadsheets, Latest, and Favorites.  

By creating additional Search Scopes, you can help users narrow their search by restricting search results to specific criteria based on the following:

  • Specific Search Terms
  • Specific data sources
  • Specific date and time range
  • Specific file formats

The "Is Stream" setting allows you to designate the scope as the Stream scope used on the search home page "Latest Updates" section. If no Scope is selected as the "Is Stream" scope, the "Everything" scope will be used.

Search Scopes created in the Dashboard are System Search Scopes and are available to all users. Users can choose which search scopes are active for their account by checking or unchecking them in the Search Scopes settings web client. Users can also create their own Search Scopes and make them available to other users.


Creating a System Search Scope 

To create a new system Search Scope, launch the Management Console and click “Search Scopes”. The Dashboard will open to the Search Scope page.

From the Search Scope page, click the "Create Search Scope" button.    Enter a "Display Name", and enter any other information you wish for this filter, by selecting or entering values for each of the various options.  Check “Activate scope for all users” if you want to make this scope active for all users. Users can enable or disable system search scopes in their user settings. Check the “Is Default” setting if you want this Search Scope to replace “Everything” as the default scope. Check 'Is Stream" if you want this Search Scope to be used for the "Latest Updates" section of the search home page. Only 1 scope can be selected as the Stream Scope. Click the "Create Search Scope" button when you are done. A new search scope will appear in the list.


To delete a Search Scope, click the red X next to the Search Scope you wish to delete. You will be prompted to confirm your request.


Promoted Results

Promoted Results are documents that appear highlighted at the top of the search results list when a user searches for specific terms. Promoted Results will not display promoted documents the user does not have permission to see.

To configure promoted results, perform the following:

  • Click the “Create Promoted Result” button.
  • Provide a description for the promoted result set.
  • Provide the terms that will trigger the promoted results whenever a user enters the terms.
    • Enter one term or phrase per line.
    • Search terms must be an exact match for the promoted document to appear.
  • Add the document IDs for each of the documents you want presented as promoted results.To obtain a document ID, you will need to first perform a search for the document.
    • Click the “Find Documents” button to launch a Locator search window with a special “Admin” parameter.
    • Perform your search and you will notice the document results include the document ID for every document in the search results.Make note of the document ID for each document you want to include in the promoted results.
    • Return to the “Create Promoted Results” window and enter the document IDs you want included. Enter one ID per line
  • Promoted documents will be displayed in the order they appear in this box.
  • Click the “Create Promoted Result” button to save your data.


Default User Settings

Administrators can use this page to define the default values for some user settings.

• UI Language: Specifies the default language used to present the Locator search page
• Clear Refiners Before Searching: Specifies that the refiners will be cleared when performing a new search query by default
• Search Results View: Specifies the default view for the search results page
• Search Language: If multiple search languages were configured, this setting specifies which one will be used as the default for all users
