FileServer Connector: Adding a New Connection


Start by opening the Locator Management Console and go to "Connections" > "File Server".  Start the Connection Wizard by clicking "Add New Connection".

Setting Name

Description

Display NameThe name of the connection.
UsernameThe name of the index user. Enter the domain\user name and password for the user account you want to impersonate when performing the indexing. 
PasswordThe password of the index user.
Path to FileshareUNC Path to the start path of the fileshare to index. The file share path can be typed directly, using a UNC or mapped drive path, or by browsing to the File Share by clicking on the "Browse...” button. Note: In order to be able to offer Single Sign-on, you have to use the server DNS name. If using the IP address, Single Sign-on will NOT be available. 
Enable Share Security

Read Enable Share Security checkbox" for details. *CAUTION: unchecking this checkbox may lead to undesired results.

Using DFS


If you are using a Distributed File System (DFS), the Locator File Server connector has to use the DFS path for indexing. If not, the users will not be able to open DFS source hits.

Setting Name

Description

File Types to IndexThe file extension to index. The options are:
  • Index all file types
    • This one will by default index ALL files, regardless of the file format
    • For file types associated with the built-in DocFilter content filter, all text content available will be indexed
    • For other file types, only available metadata (like file name and path) will be indexed
  • Index selected file types only (default)
    • Will only index the file types listed in the dialog
  • Exclude selected file types
    • Will index everything - except the file types defined in the list



Folder Filter Rules Page

Description

Folder Filter RulesExclude or include folders based on folder name.

The Folder Filter Rules lets you include or exclude sub-folders while indexing data.
Option 1:  Search all directories except those that are in the EXCLUDED list

  • Using relative file paths (eg. "photo\personal"), you can define a set of folders that will NOT be indexed
  • This is a good solution for excluding backup folders, temporary folders, photo or music folder etc.
  • Input format: Enter the folder names as single terms

Option 2:  Search only directories that are in the INCLUDED list.

  • This option lets you build a list, defining a set of folders that will EXCLUSIVELY be indexed. But remember, no other folders will be indexed!
  • This is a good choice if you want to index only a few sub-folders.
  • Input format: Enter the folder names as single terms




Filename Filter Rules Page



Setting Name

Description

Filename Filter RulesExclude or include files based on filename. The Filename Filter Rules let you add or exclude exact file names while indexing data.

Option 1:  Search all file names except those EXCLUDED by the list. 

  • The option lets you build a list, defining a set of file names that will NOT be indexed
    • This is a good solution for excluding specific files.
    • Input format: Enter the exact file names including extension: Accounting.xlsx. 
      • Files that share a similar naming convention can be excluded using the wildcards * or ? For example: backup*.zip or *.log

Option 2:  Search only file names that are in the INCLUDED list.

  • This option lets you build a list, defining a set of file names that will EXCLUSIVELY be indexed
    • Note: No files named other than the ones you have chosen will be indexed if you use this option.
    • It might be the preferred choice if you only want to index only specific files (with pre-defined file names) from a share.
    • Input format: Enter the exact file names including extension: Accounting.xlsx
      • Files that share a similar naming convention can be included using the wildcards * or ? For example: backup*.zip or *.log

Folder Setting

The options are:

  • Standard File Share
  • Treat Share is a User Home Folder: In case the folder is part of a Home Folder structure, the system can be enabled to index the folder for all or specific users only. Marking the "Treat Share as User Home Folder" you can choose between
    • Index Locator User Folders Only - This option will only index the home folders belonging to the users who have logged in to Locator and been granted a license.
      • Why choose this one? - You don't have to consider what users will be accessing Locator. Only folders for users logged in will be indexed.
      • Why not choose? - No user data will be indexed until the user has logged in to Locator the first time. So, when the user logs in for the first time, none of his/her private folder data will be indexed.
    • Index All Home Folders - This option will index all home folders, regardless of who the user is.
      • Why choose this one: This is the best option if you want to pre-index all data before the users start logging in to Locator.
      • Why not choose this one: If the number of employees is large compared to the number that will be using Locator, there will be a lot of folders indexed unnecessarily.
